CRM Detailed Process
The CRM Process in VijayERP covers the complete customer journey — from new inquiry to final sales order. It helps your team record every interaction, follow-up, and decision, ensuring that no lead or opportunity is missed. Below are the key stages of CRM workflow:
Inquiry
Record all customer inquiries received through calls, email, or WhatsApp. Each inquiry includes customer details, product requirements, and follow-up dates.
Campaign
Create and manage marketing campaigns to reach new customers. Track leads generated from ads, exhibitions, or promotions — and assign them to sales staff for follow-up.
Leads
All inquiries move into the Leads section after initial verification. Each lead can be followed up, converted to a quotation, or marked as closed based on customer response.
Costing Pending
When product pricing or estimation is not ready, the inquiry is marked as Costing Pending. This helps the management team prioritize quotation preparation.
Costing Done
Once product costing is completed, the inquiry moves to Costing Done stage. From here, the sales team can prepare and send the quotation to the customer.
Quotation
Prepare and send professional quotations directly from VijayERP. Each quotation is linked to its inquiry, lead, and costing — giving complete traceability.
Running PO
Inquiries converted to Purchase Orders (PO) are listed under Running PO. This section helps monitor ongoing customer orders and delivery status.
Pending for SO
When a PO or quotation is approved but the Sales Order is not yet created, it appears here. This ensures no confirmed order is missed during sales entry.
Inquiry Done
Once the customer confirms or the case is completed, it is marked as Inquiry Done. This helps keep your active inquiry list clean and focused.
Inquiry Regret
If the customer does not proceed or the quotation is rejected, mark it as Inquiry Regret. The data remains in the system for analysis of lost opportunities and feedback.
New Inquiry
This section lists all new inquiries that have just been received and not yet assigned or reviewed. It helps management quickly identify new opportunities.
Call Data
All telephonic customer communication is recorded in Call Data. This ensures no conversation is lost and provides a clear reference for future follow-ups or quotations.
